Everything you’ll need to know to get into Grooop
booking an apartment
- You can only apply for an apartment with a Grooop of people. If you don’t have a Grooop yet, you can use the ‘Find your flatmate’ tool on Roomplaza to connect with the people of your choice.
- The number of people in your Grooop needs to correspond with the number of bedrooms available.
- We need a valid copy of your passport/ID
Unfortunately, viewings are not possible. But the photos and videos will give you a truthful impression of what the Grooop apartments look like (or what they will look like, if they’re currently under renovation).

Unfortunately, no. Municipality rules do not allow the registration of more people than there are bedrooms in your apartment. Your partner can of course visit you, but this is limited to 7 uninterrupted nights and no more than 15 nights per month. Be aware that violation of these rules can lead to immediate termination of your rental agreement.
When an apartment becomes available is different for every apartment. This date is always specified in the advertisement.
No, all apartments we offer have a fixed start- and end date. You are of course free to check in later or check-out earlier. If so, please let us know.
As a rule all our apartments are offered for a period of 12 months. However, for some apartments it is possible to agree on a period that is longer than 12 months. Contact us if you’d like to find out more.
After applying for an apartment you are requested to pay the BIP (Bed Inventory Package), HP (Hygiene Package) and Admin fees. We need you to do this within 48 hours. Once these fees are paid your group will have 10 working days to complete the contract phase.
- Each member of your group pays the €150 BIP (Bed Inventory Package), HP (Hygiene Package) and Admin fees within 48 hours.
- Once everybody’s payment is received we will draw up the Rental Agreement and send it to all group members to fill out and sign.
- Everybody sends us a digital copy of their passport.
- All of your group members transfer their deposit within 5 working days after having signed the agreement. Please note it should also be done 5 working days prior to the check-in date.
- We need to receive the first month’s rent ultimately 5 working days prior to the check-in date.
- Inform us on the date the first arriving tenant will check in.
We will email you the confirmation of your booking.
We accept SEPA, IDEAL and all common credit cards.
Pandadoc is the online platform we use for electronically signing documents such as the Rental Agreement. This way you can sign remotely.
Once you and your flatmates have signed the complete Rental Agreement we will confirm your booking by email. This email also contains information about your check-in and information about how to register as a local citizen at a municipal registry office.
the Apartment
No, pets are not allowed in Grooop apartments.
Grooop kitchens have every appliance you could wish for: a fridge, stove, microwave, dishwasher and fume exhaust are all there. Kitchen utensils, glasswork & cups, plates, pots & pans are available as well.
Grooop bedrooms have a single or double bed, mattress, desk, desk chair, desk light and a wardrobe closet.
Grooop apartment either have large kitchens or a small kitchen and a separate living room. In any case you’ll find a couch there, a side table and a flat screen TV. If a dining area is available there will also be a dining table and chairs.
Costs
BIP stands for Bed Inventory Pack and includes a mattress cover, mattress protector, molton, pillow and duvet. HP stands for Hygiene starters Pack and includes a toilet brush, bathroom rug, kitchen linen, soap, and cutting boards. In addition to these fees you will also be charged an Admin fee, which a.o. allows you access to Facilitee, the app for filing service service requests. In total these fees amount to EUR 160,- per person.
If the Rental Agreement can not be signed because of a mistake on our side, the paid fees will be refunded. If the Rental Agreement can not be signed because of the tenant’s actions, the fees will not be refunded.
Facilitee is the app in which tenants file their service requests.
Rent is always paid in advance, meaning before the start of the upcoming month. For example, the rent for the month of January needs to be paid before January starts.
Yes, we need you to pay a deposit. We use this deposit to cover any potential damages, for excessive wear and tear or other unmet conditions at the end of your rental period. The deposit corresponds to the amount of two months of rent. We need you to pay the deposit within ten working days after the Rental Agreement has been sent to you, or at least 5 working days prior to the start of your rental period.
Yes it is. And it’s insanely fast!
Yes they are, it’s all taken care of.
As a Grooop tenant you will need to officially register with the local municipality. You will then be required to pay a municipal waste/pollution tax and water taxes. Although the amounts vary per municipality you can expect them to be a few hundreds of euros per year. On the bright side, you’ll also be allowed to vote in municipal elections.
A liability insurance covers expenses you ‘d otherwise need to make because of liability on your part in damaging others or other people’s property.
When living in the Netherlands it is recommended you have liability insurance which basically is an insurance you would use when you break something that is not yours. For example: when you use a laptop of someone else and you drop and accidentally break it, this is a situation where you would use your liability insurance to cover the damages. Although this insurance is not mandatory to have by law, having one can be mandatory for renting an apartment.
An upholstery insurance relates to the furniture/items that are inside the house. E.g., if there is a fire or a break-in, you would use this insurance to cover the damages. Although this insurance is not mandatory to have by law, having one can be mandatory for renting an apartment.
No. These insurances will have to be taken out by the tenants themselves and are not property related. For students we recommend getting a special student insurance package at (for example) a Dutch bank. Dutch banks offer these kinds of packages which include liability and upholstery together at a price between EUR 2-5 per month.
With Grooop you pay an all-inclusive rent. No surprises. The only things you’re personally responsible for are your taxes.
rental Agreement
Minors are legally not permitted to sign a Rental Agreement without formal permission of parents/guardians. If this applies to you, please supply us with a document that states their permission.
If you are a EU resident, an ID card will suffice as proof of identity. If you are from outside the EU, we really need to see a passport, though.
On the Rental Agreement you can leave the required field open or now. Ultimately we’d like to get your BSN to complete your registration with Grooop.
No. In case of a tenant leaving before the end of the contract, the remaining tenants have to find a replacement to take over the remainder of the Rental Agreement. The replacing tenant will have to be approved by the remaining tenants as they are the people who will then be living with this new person. Once all tenants are in agreement on the replacing tenant taking the place of the leaving tenant, this person (and his / her contact details) should be communicated with us in order to suggest this person for approval. Once Grooop approves this person, the replacement process will be started.
Important: the only exception to this rule would be if Grooop receives multiple (formal) complaints from neighbours/surrounding residents, these complaints are communicated to the tenants but not followed resulting in the landlord being forced to terminate the Rental Agreement.
In such an exceptional situation, the landlord does have the right to terminate the Rental Agreement as a whole. Needless to say that this situation should be prevented at all cost, as a good and respectful relationship with your neighbors / surrounding residents should be a priority at all times.
Once a replacing tenant is approved by both Grooop and the remaining tenants, and we are in contact with the replacing tenant, the replacement process can be started. This process basically holds that an addendum to the Rental Agreement that was concluded at the beginning of the rental period.
To inform you, an addendum is a formal addition that can be added to an existing agreement and will have the same legal power in this regard. No provisions stated in the contract will be changed, the addendum basically states that the contractual rights and obligations will be transferred from the current tenant to the replacing tenant (including the state of the room).
It is stated in the rental agreement that the individual residents are jointly and severally liable for the fulfillment of all obligations arising from the Rental Agreement.
To give this some more context, from our point of view – a violation is a violation and we will not go into personal detail who will be responsible for this. Following the aforementioned provision, we can hold every single tenant responsible in case of a violation. In practice the violation would have to be handled internally (within the group) by the tenants themselves to hold the person responsible who the violation can be attributed to.
